Position Descriptions:
President: The President is the person who is responsible for all aspects of the drive. The responsibility for the success of the drive, the quality of work from the board members, and the process by which the drive is completed are all dependent on the President. The ability to keep track of a multitude of concurring events is paramount to the drive’s success. In addition, the president should be able to delegate tasks to other board members/volunteers. As president, you will be the one looked to in times of crisis. You must be willing and able to make quick decisions in those situations when necessary. The most important quality a president should have is an open mind to new methods of operation that may be more effective or efficient. The President of Hams for Fams must be someone who can lead a team confidently and provide clear direction and supervision to their board. Should conflicts arise, the president has to know how to handle and resolve those situations. Organizational skills, critical thinking, and an excellent work ethic are absolutely necessary for this job.
Vice President: This is a “do-it-all” position. Main responsibilities include website creation and management, social media management, news media coordination, making small decisions in real-time, overseeing other positions, aiding president(s) in any manner necessary, and resolving disputes (HR). This position requires dedication and a large amount of work, as it is arguably the second heaviest workload on the board. Vice Presidents should be self-motivated, organized, and willing to complete any task necessary for the completion of the drive. When things go wrong or must be fixed, it will likely be the Vice President that makes the phone call, purchases the missing item, or finds the person who will fix the issue. It is important to note that this position is still secondary to the President, who will veto ideas or can steer the drive in a different direction. Being able to handle changes in plans or disagreements is a key part of this job.
Family Coordinator: The Family Coordinator is responsible for compiling a list of families to be delivered meals through the Hams For Fams online signups and contacting local churches, schools, and other non-profit organizations. In addition, the Family Coordinator must consistently review the online database to ensure all information is accurate. The Family Coordinator also will lead the efforts in contacting each family to ask if they want a meal and to communicate the details of delivery such as date and time. On the day of delivery, the Family Coordinator will handle issues regarding incorrect addresses or any problems regarding families that may arise.
Volunteer Coordinator: The Volunteer Coordinator is the main liaison between the people in charge of the Hams for Fams drive and the volunteers. The Volunteer Coordinator organizes all of the volunteers by communicating times, places, and delivery groups. This position also deals with special requests regarding any of the aforementioned subjects. On the days of the drive, the Volunteer Coordinator leads the efforts in greeting volunteers, signing them in, and helping to deliver instructions about the day’s work. IMPORTANT: Volunteer Coordinators are in charge of making sure all volunteers receive, sign (or get a legal guardian to sign), and return the liability waivers.
Secretary: The Secretary acts as a liaison among the other board members and is the main book-keeper. The position’s main responsibilities include keeping minutes for all official meetings, maintaining the drive’s files and documents, ensuring all records are up to date, and assisting other members where the most work is required. The Secretary ensures that communication among the different members and their respective departments is cordial and effective. They relay messages to make sure everyone is up to date. The Secretary must also help with whatever duties require the most attention or work, which is often managing volunteers or families. For this reason, this position requires knowledge of how every other role operates.
